Creating and Updating Products

This article is machine translated to other languages than our default language English

If any doubt about the meaning we suggest you switch to the English version

Table of Contents

Before you start creating new products in your Store please first go through article Completing the Store Setup.

Creating Products

To create a new product ensure you are looking at the English language version of your Store Manager Dashboard. Then navigate to Products and click the ‘Add New’ button.

First you need to decide whether you want to create a Simple Product, or a Variable Product.

A Variable Product is relevant when you have several types of the same product like different colors, sizes, shapes, materials, finish etc. which may result in different pricing, pictures, descriptions, stock quantities etc.

Creating a Simple Product

As an example we will be creating a Simple Product using a shoulder bag made of old denim jeans. Since no customer selectable variations like different sizes or colors are applicable it is a Simple Product.

Ensure the dropdown field ‘Product Type’ says “Simple Product” and give your product a catchy and unique ‘Product Title’ in English language (maximum 50 characters possible).
For this example we have selected title “Denim bag made of old jeans”.

NOTE: Ensure you enter the title in English language (use the DeepL Translator new tab window, or ask somebody to assist you if you are not comfortable with English)!

Next add the regular price in ‘Regular Price (€)’ and optionally a reduced sales price in ‘Sale Price (€)’ if you immediately want to list your product as being on sale.

You can optionally schedule a start and end date where the product will be on sale by clicking the ‘Sale Duration’ link.

You have already gone through article Completing the Store Setup where you configured your shipping rates. As explained in that article it may be a good strategy to offer free shipping or cheap shipping not fully covering your shipping costs and then instead incorporate some or perhaps all of the shipping cost into the product price.

Notice that all product prices are entered in Euro (€) which is also the Checkout currency for your customers. If Euro (€) is not the primary currency used in your country you can use XE Currency Converter new tab window or similar currency conversion calculators to calculate the product prices you want to set.

If your country’s currency is not Euro (€) or if Euro (€) is not the currency of the bank account you added in your Stripe account you may want to add about 3% on top of the price you expect to receive in your native currency to cover for Stripe’s conversion fee. When we payout your profits to your Stripe account Stripe will charge about 3% for the conversion from Euro (€) to your bank account currency.

In ‘Category’ you must select the relevant sub-category or sub-sub-category like we for this example will select sub-category “Bags, Purses & Wallets” beneath main category “Fashion & Style”.

NOTE: Some sub-categories have sub-sub-categories in which case you must select the sub-sub-category under the first sub-category!

If you are in doubt which sub-category or sub-sub-category to select or if we have missed to create a relevant sub-category or sub-sub-category for your product please initially select “Uncategorized” in ‘Category’ and we will help categorize your product. If we need your help to identify the right category we will reach out to you 😉

In ‘Tags’ you can optionally add as many tags in English language as you want separated by commas.
Please first click ‘Choose from the most used tags’ to see if relevant tags already exists (your product will be more visible if it shares tags with other similar products).

NOTE: Ensure you enter the tags in English language (use the DeepL Translator new tab window, or ask somebody to assist you if you are not comfortable with English)!

We recommend you add tags since these tags play an important role to give your product better exposure on search engines like Google. Try to make your tags as unique as possible either as single unique words, or even better short unique sentences you imagine would match what a potential customer would write in Google. The closer you match the keywords and sentences a potential customer would write in Google the greater chance a direct link to your product will show early in the search results.

For our example of product ‘Denim bag made of old jeans’ we enter tags like:
denim bag, cool bag, repurposed bag, upcycled bag, jeans bag, shoulder bag, shopping bag, denim upcycled bag, handmade denim bag

Add a ‘Short Description’ in English language summarizing what is great about your product. You should keep the Short Description below maximum 100 characters and keep the details for the ‘Full Description’ field.

NOTE: Ensure you enter the short description in English language (use the DeepL Translator new tab window, or ask somebody to assist you if you are not comfortable with English)!

‘Short Description’ will be visible viewing your product at the top of the page beneath the price next to the product images.

In ‘Full Description’ you can provide all the nitty gritty details in English language.

NOTE: Ensure you enter the full description in English language (use the DeepL Translator new tab window, or ask somebody to assist you if you are not comfortable with English)!

‘Full Description’ will be visible viewing your product beneath the product images on the ‘Description’ tab.

Now click the large image placeholder icon to add the primary product image.

Unless you already uploaded your product images to your Media Library click the first tab ‘Upload files’.

Either drag and drop your primary product image to the canvas or select it by clicking the ‘Select Files’ button.

NOTE: Uploading new images may take a while, so please be patient!

Please note that we allow a maximum image size of 1 Mb, but we recommend to keep it below 200 Kb for faster loading of your Product Page.
Generally jpg format should be preferred over png format due to its smaller size.

So if your image size is bigger than 1 Mb first you need to shrink it.

This can be done by reducing the dimensions or the quality of the image for instance using image editors like GIMP new tab window (free image editor) or Adobe Photoshop / Adobe Illustrator new tab window (licensed image editors). Please search Google for instructions.

When the image is uploaded it will be shown under the ‘Media Library’ tab.

Alt Text: All though optional the alt text field is recommended since it is used by search engines like Google to index images. For our example we added an Alt Text saying ‘Cool denim bag made of old jeans’.

Title: The title will default be the file name of the image you uploaded. You can optionally change to a more friendly title.

Caption: The caption field is optional and is visible to your customers beneath the image when enlarging the image when viewing the product (if you leave this blank customers will instead see the ‘Title’ beneath the image).

Description: The description field is optional and is only visible to you if you want to add some personal description to your images.

NOTE: Ensure you enter the image information in English language (use the DeepL Translator new tab window, or ask somebody to assist you if you are not comfortable with English)!

Finally click the ‘Select’ button to add the primary product image.

Repeat above steps to add a secondary image.

You can add as many images as you want, but we recommend you don’t add more than a total of 4-6 images showing your product from different angles (to many images will cause your Product Page to load slower).

Last mandatory thing to configure before you can publish the new Simple Product is to set the stock quantity as explained below under ‘INVENTORY’.

Here is a description of all options available on the bottom tabs.

INVENTORY

SKU: Give your product a unique identifier of your own choice for you and customers to identify it by (recommended if you are going to have many items in your store). 2 sellers cannot define the same SKU, so try to make it unique for instance by adding your store name as part of the SKU (e.g. for our example the Store Name is ‘Genevieves Upcycled Denim Store’, so we could name our SKU’s like GUDS1000, GUDS1001 etc.).

Stock Qty: How many of this product you have in stock or very close to being in stock. Ensure not to set the stock quantity higher than you can manufacture and deliver within the promised Processing Time in case you get many concurrent orders.

For a Simple Product you need to set your stock quantity in ‘Stock Qty’.

SHIPPING

Weight (kg): Weight of the product (visible when viewing the product).

Dimensions (cm): Length, Width and Height of the product (visible when viewing the product).

Processing Time: When you configured Shipping under Settings -> Shipping you set a default processing time which you can override here just for this product.

Override Default Shipping Costs: Can be used to override the ‘First Item Shipping Cost (€)’ and/or the ‘Additional Items Shipping Cost (€)’ if you set those under Settings -> Shipping and even if you didn’t you can still add additional shipping cost just for this product. Requires that at least one of below fields ‘First Item Shipping Cost (€)’ and/or ‘Additional Items Shipping Cost (€)’ are set.

First Item Shipping Cost (€): Adding first piece of this product to the Cart will be charged this added shipping price and requires that above ‘Override Default Shipping Costs’ is ticked. This cost is added on top of the default ‘Default Shipping Cost (€)’ and any Country specific cost, but replaces the default ‘First Item Shipping Cost (€)’ if set under Settings -> Shipping.

Additional Items Shipping Cost (€): Adding additional pieces (2nd, 3rd etc.) of this product to the Cart will be charged this added shipping price and requires that above ‘Override Default Shipping Costs’ is ticked. This cost is added on top of the default ‘Default Shipping Cost (€)’ and any Country specific cost, but replaces the default ‘Additional Items Shipping Cost (€)’ if set under Settings -> Shipping.

NOTE: When you have added your first product or products we recommend you test whether the shipping cost is calculated as you expected, by adding one or more of your own products to the Cart and then in the Cart trying to calculate the shipping cost using different countries/states!

ATTRIBUTES

Here you can either use our predefined Attributes (e.g. ‘Color’ and ‘Size’), or add your own custom Attributes (e.g. ‘Materials I used’) visible when viewing the product.

NOTE: Only the predefined Attributes will be searchable by filtering on the Marketplace page. If you believe we are missing some obvious Attributes which should be searchable by filtering please let us know!

Active?: Ensure you tick this unless you temporarily want not to have the Attribute visible to customers.

Name: Name of your custom Attribute in English language (e.g. ‘Materials I used’).
NOTE: Ensure you enter the attibute name in English language (use the DeepL Translator new tab window, or ask somebody to assist you if you are not comfortable with English)!

Value(s): Values of your custom Attribute separated by a ‘pipe’ symbol (e.g. ‘Denim Jeans|Leather|Table Cloth|Buttons’). If you don’t know how to add a ‘pipe’ symbol try searching Google (e.g. search for ‘pipe symbol English keyboard’).
NOTE: Ensure you enter the atribute values in English language (use the DeepL Translator new tab window, or ask somebody to assist you if you are not comfortable with English)!

Visible on the product page: Tick to make visible on the Product Page (will be visible under tab ‘Additional Information’ (same area as ‘Weight’, ‘Length’, ‘Width’ and ‘Height’ if you set those above under ‘SHIPPING’).

For instance to add new custom Attribute click the ‘Add’ button.

And give the Attribute a ‘Name’ (e.g. ‘Materials I reused to create this bag’ and some ‘Value(s)’ (e.g. ‘Denim Jeans | Leather | Table Cloth | Buttons’).

Ensure you tick ‘Active?’ and ‘Visible on the product page’.

Then like Weight and Dimensions (if you added those above under ‘SHIPPING’) these custom attributes will be visible under the ‘Additional Information’ tab when viewing the product.

LINKED

Up-sells: Here you can link this product to other of your published products which you would encourage your customers to purchase instead of this product. Reasons for this could be if those other products are more profitable for you to sell, or if they are better quality. These linked up-sells products will be visible on the bottom of the Product Page under the ‘You may also like…’ heading.

Cross-sells: Here you can link this product to other of your published products which you would recommend your customers also to purchase together with this product. These linked cross-sells products will be suggested when your customers view the Cart.

COUNTRY RESTRICTIONS

Restriction Rule: Here you can select whether ‘Product Available for all countries’, ‘Product Available for selected countries’ or ‘Product not Available for selected countries’.

Select countries: If you above selected either ‘Product Available for selected countries’ or ‘Product not Available for selected countries’ you need to list the countries in this field which you allow this product to be shipped to or NOT to be shipped to.

NOTE: Customers in countries you have restricted will still be able to see the product, but they will not be able to purchase the product and they will see a message saying ‘Sorry this item does not ship to your location. You may contact the seller to understand whether shipping can be enabled!’ !

ADVANCED

Purchase Note: Here you can enter a short standard message in English language which will be added to the customer order received email when customers purchase this product.

NOTE: Ensure you enter the purchase note in English language (use the DeepL Translator new tab window, or ask somebody to assist you if you are not comfortable with English)!

Congratulations! You have now filled all mandatory fields to create a Simple Product and you can scroll down and click the ‘SUBMIT’ button which will publish your product.

Please refer to below section Translating a Product for instructions how to translate the product you just created to other languages supported by upXycled.com.

Creating a Variable Product

As an example we will be creating a Variable Product using a dress made of old denim jeans. Since customers should be able to select the size of the dress a Variable Product is needed to create the size variations of the product.

Ensure the dropdown field ‘Product Type’ says “Variable Product” and give your product a catchy and unique ‘Product Title’ in English language (maximum 50 characters possible).
For this example we have selected title ‘Denim dress made of old jeans’.

NOTE: Ensure you enter the title in English language (use the DeepL Translator new tab window, or ask somebody to assist you if you are not comfortable with English)!

In ‘Category’ you must select the relevant sub-category or sub-sub-category like we for this example will select sub-sub-category “Dresses” beneath sub-category “Women’s Clothing” beneath main-category “Fashion & Style”.

NOTE: Some sub-categories have sub-sub-categories in which case you must select the sub-sub-category under the first sub-category!

If you are in doubt which sub-category or sub-sub-category to select or if we have missed to create a relevant sub-category or sub-sub-category for your product please initially select “Uncategorized” in ‘Categories’ and we will help categorize your product. Last mandatory thing to configure before you can publish the new Variable Product is to create the attribute / attributes you need for your product as explained below under ‘ATTRIBUTES’ and ‘VARIATIONS’.

Here is a description of all options available on the bottom tabs.

SHIPPING

Weight (kg): Weight of the product (visible when viewing the product).

Dimensions (cm): Length, Width and Height of the product (visible when viewing the product).

ATTRIBUTES

Here you can use our predefined attributes (e.g. Color and Size), or add your own custom Attributes (e.g. ‘Materials I used’) visible when viewing the product. Since you are creating a Variable Product you need to use Attributes to create the needed Variations of this Variable Product. However, like mentioned above for simple products you can also use them just to display as information on the product page.

‘Select type of wood’ if a Variations Attribute, or ‘Materials I used’ if a normal attribute not to be used for a selectable Variation).
NOTE: Ensure you enter the attribute name in English language (use the DeepL Translator new tab window, or ask somebody to assist you if you are not comfortable with English)!

Value(s): Values of your custom Attribute separated by a ‘pipe’ symbol (e.g. ‘Oak|Ash|Pine’ if to be used as selectable Variations, or ‘Denim Jeans|Leather|Table Cloth|Buttons’ if not to be used as selectable Variations. If you don’t know how to add a ‘pipe’ symbol try searching Google (e.g. search for ‘pipe symbol English keyboard’).

NOTE: Ensure you enter the attribute values in English language (use the DeepL Translator new tab window, or ask somebody to assist you if you are not comfortable with English)!

Visible on the product page: Tick to make visible on the Product Page (will be visible under tab ‘Additional Information’ (same area as ‘Weight’, ‘Length’, ‘Width’ and ‘Height’ if you set those above under ‘SHIPPING’). We recommend always to tick this both for Attributes just to be used to display information on the product page and Variations Attributes.

Use as Variation: Ensure to tick this if your intention with the Attribute is to create Variations (e.g. to allow customers to select different sizes of the product).

For instance to use one of our predefined Attributes like ‘Color’ as input to a Variation click the small arrow to expand the Attribute.

And select the relevant colors from the list.

Ensure you tick ‘Active?’ and ‘Use as Variation’ (generally we recommend you also tick ‘Visible on the product page’ even if the Attribute is to be used for a Variation to also make the values visible under the ‘Additional Information’ tab).

To add a new custom Attribute as input to a Variation (e.g. ‘Select type of wood’), or just to be used to display information on the product page (e.g. ‘Materials I reused to create this dress’) click the ‘Add’ button.

And give the Attribute a ‘Name’ (e.g. ‘Materials I reused to create this dress’) and some ‘Value(s)’ (e.g. ‘Denim Jeans | Cotton’).

Ensure you tick ‘Active?’ and ‘Visible on the product page’ (if you want the Attribute to be visible under the ‘Additional Information’ tab on the Product Page) and ‘Use as Variation’ (if you want to use the Attribute as input for a Variation).

If you tick ‘Visible on the product page’ then like Weight and Dimensions (if you added those above under ‘SHIPPING’) these custom attributes will be visible under the ‘Additional Information’ tab when viewing the product.

Continue to the next tab ‘VARIATIONS’ to create the Variations.

VARIATIONS

Here you create the Variations for the Attribute or Attributes in case you defined several Attributes to be used for the Variations (e.g. besides size you may also want to create Variations allowing your customers to choose different colors, materials, style, scent etc.).

Default Form Values: Unless you want to preset a default Variation for your customers (e.g. size ‘XL’ default selected) leave this to the default value saying ‘Any ..’ (e.g. ‘Any Size ..’).

Dropdown list (list in the top left corner for each added Variation): If you want to set same price, stock quantity, image, SKU and description for all the Attribute values you defined (e.g. all the sizes) leave this to the default value saying ‘Any ..’ (e.g. ‘Any Size ..’). In that case you only have to create one Variation covering all the values of the Attribute. If you want different prices, stock quantities, images, SKU’s or descriptions for some or all of the Attribute values instead select the first Attribute value in this dropdown list and then click the bottom right plus icon to create a Variation for each of the Attribute values.

Enable: Ensure all Variations you want to be visible to the customer are ticked.

Image: If you are going to create only one Variation of the product including all of the Attribute’s values you can just leave this blank. If you create multiple Variations of the product one for each of the Attribute’s values you may want to show different images when the customer selects a Variation (e.g. if the variations are for different colors). All variations will default to the primary image you added earlier if you leave ‘Image’ blank.

Regular Price (€): The regular (not on sale) price for the Variation of the product.

Sale Price (€): The sale price for the Variation of the product (click the ‘Sale Duration’ link if you want to schedule a start and end date where the Variation will be on sale).

Stock Qty: How many of this Variation of the product you have in stock or very close to being in stock. Ensure not to set the stock quantity higher than you can manufacture and deliver within the promised Processing Time in case you get many concurrent orders.

SKU: Give your Variation a unique identifier of your own choice for you and customers to identify it by (recommended if you are going to have many items in your store). 2 sellers cannot define the same SKU, so try to make it unique for instance by adding your store name as part of the SKU (e.g. for our example the Store Name is ‘Genevieves Upcycled Denim Store’, so we could name our SKU’s for the variations like GUDS1002SIZESMALL, GUDS1002SIZEMEDIUM, GUDS1002SIZELARGE etc.).

Description: Will become visible when the customer selects the Variation.
NOTE: Ensure you enter the variation descriptions in English language (use the DeepL Translator new tab window, or ask somebody to assist you if you are not comfortable with English)!

Regarding the price fields you have already gone through article Completing the Store Setup where you configured your shipping rates. As explained in that article it may be a good strategy to offer free shipping or cheap shipping not fully covering your shipping costs and then instead incorporate the cost of shipping into the variation price.

Notice that all variation prices are entered in Euro (€) which is also the Checkout currency for your customers. If Euro (€) is not the primary currency used in your country you can use XE Currency Converter new tab window or similar currency conversion calculators to calculate the variation prices you want to set.

Variations Example 1

In this example we are adding only one Variation allowing the customer to select the size of the dress with all the different sizes (Variations) having identical price, stock quantity, image, SKU and description thus only one Variation including all the values of the size Attribute is needed.

We leave ‘Image’ blank to let the Variation default to the primary product image which we added earlier (after we save the Variable Product we will see the primary product image in the ‘Image’ field).

The one Variation covering all the dress sizes will look like this when viewing the product.

Variations Example 2

If we want different prices, stock quantities, images, SKU’s or descriptions for the dress sizes a Variation for each of the values of the Attribute will have to be created. This example shows Variations for sizes XS & S (click the + sign to add all needed Variations for all sizes set in the Attribute’s values).

The Variations will look like this when viewing the product where we have set size S for sale with a reduced Sale Price of €110 and all the other sizes still at Regular Price €130.

Creating Attributes for Variations can be a bit daunting, so please reach our to us if you have any questions or need assistance 😉

NOTE: Ensure you enter the purchase note in English language (use the DeepL Translator new tab window, or ask somebody to assist you if you are not comfortable with English)!

Congratulations! You have now filled all mandatory fields to create a Variable Product and you can scroll down and click the ‘SUBMIT’ button which will publish your product.

Please refer to below section Translating a Product for instructions how to translate the product you just created to other languages supported by upXycled.com.

Translating a Product

Optionally you can translate your products to other languages than English.

If you decide not to translate your products customers will see the default English language versions of your products when browsing in other languages than English.

However, when customers use the filters in the left column on the Browse Marketplace page to restrict the visible products, your products will only be visible if you have translated them to the shown language.

IMPORTANT: Avoid switching language in other browser tab/windows both viewing the ‘Store Manager Dashboard’ as well as other upXycled pages while you’re editing Products since this might mess up the translations!

After you have created a new product by clicking the ‘SUBMIT’ button, to translate it click the + icon for the language you want to translate to like we for this example select German.

Translate the ‘Product Title’, ‘Short Description’ and ‘Full Description’ fields and also the ‘Tags’ field if you added tags for the English version of the product.

NOTE: We recommend you use the DeepL Translator new tab window for best quality translations from English!

If you added a ‘Purchase Note’ when you created the English version of the product you can also translate that in the ‘Purchase Note’ field.

Finally scroll down and click the ‘SUBMIT’ button which will publish your product translation.

Updating Products

In this section we will only cover how to update the lifecycle status for a product and how to decide which of your products you want to set as Featured (we will ensure your Featured product gets better exposure).

Please refer to above sections Creating a Simple Product and Creating a Variable Product for instructions how to populate the different fields.

Here is a description of the available lifecycle status for a product.

Status Published

When you created the product by clicking the ‘SUBMIT’ button it was created with  status ‘Published’ meaning it is visible to your customers.

If you want to move a published product to the archived status you can click the archive icon (looks like an archive closet).

Customers cannot search or browse an archived product, but if they have a direct link they can still see it all though they will not be able to purchase it.

Status Archived

Archived products cannot be searched or browsed by customers, but if they have a direct link they can still see it all though they will not be able to purchase it.

To see your archived products click the ‘Archived ‘ link.

If you moved a published product to the archived status probably this is because you intend to delete it which you do by clicking the delete icon (looks like a garbage bin).

NOTE: Please be aware that if you delete a product it is completely deleted, so it cannot be restored!

If you regret that you archived a product you can move it back status ‘Published’ by opening the product form and then clicking  the ‘SUBMIT’ button.

Marking a Product as Featured

For each language you can feature one of your products by clicking the ‘Mark Featured’ button.

NOTE: If you translated your products to other languages than default English language, featuring a product is only for the selected language version of the product. Typically you would probably want to feature the same product for all languages, but if you want you can show different products as featured depending on the language selected by your customers!

For each language you can only have one product marked as featured at the same time. If you want to change which of your products is currently featured first you need to un-feature the currently featured product by clicking the ‘No Featured’ button.
